DEPARTMENT: Title III Office  

QUALIFICATIONS: A Bachelor's degree in Business or related field and a minimum of five (5) years experience in which clerical/office skills are required. Provides administrative and secretarial support to the Director of Title III, Assistant Director (AD) and administrative staff, including special projects, office workflow, appointments, correspondence, grant proposals, data compilation and records control. May perform duties of a sensitive and confidential nature. The applicant must possess and demonstrate experience in Internet usage, Microsoft Office Access, Excel, Powerpoint and Word Software Suite to support activities in the office and should have excellent typing, filing and organizational skills. Must be willing and available to work after normal working hours, as needed and be able to travel occasionally. Must also maintain confidentiality of all confidential matters and records as requested by the Director.  

RESPONSIBILITIES: The successful candidate will be expected to:

  • Facilitate all clerical matters pertaining to the Title III Office
  • Compose and edit correspondence and/or memoranda from dictation, verbal direction, or for knowledge of established Title III policies
  • Organize all Title III files both past and present in a retrievable system
  • Develop and maintain electronic Office database of all incoming and outgoing files and documentation and track the transmittal of associated files and documentation to the appropriate staff person(s)
  • Daily check campus and off-campus mailboxes and maintain log of all mail received
  • Sort, screen, review and distribute incoming and outgoing mail
  • Coordinate and schedule meetings for the Director
  • Maintain calendar, schedules, appointments and meetings, events and/or other similar activities for supervisor
  • Make all travel and accommodation arrangements and prepare travel reimbursements for the Director and Assistant Director
  • Assist staff and/or Coordinators in the preparation of grant proposals
  • Assist with special event planning
  • Prepare requisitions and consultant forms, order supplies, equipment, and other services
  • Pick up and deliver materials as required
  • Keep a record of all Project Administration equipment purchased both past and present
  • Any other duties requested and assigned by the Director
