The A.C. Lewis Memorial Library accepts books, periodicals and other resources which support or enhance the library’s program. The library retains the right to make any decision relating to the disposition of all donations.
I. Acceptance of Gifts
- A prospective donor must send a list of prospective donation(s) to the acquisitions Department. The library staff will determine which of those items are suitable for inclusion into the collection. The list will be returned with needed items indicated and only those will be accepted. The library may also advise the donor of prospective institutions or agencies that may need those resources that do not meet its criteria.
- Books/Periodicals – All gifts are received by the Acquisitions/Serial Staff. Contact Head of Acquisitions/ Serials.
- Monetary – Monetary gifts are accepted by the Director of the Library. The donor reserves the right to determine what the library should purchase or what department should benefit from a monetary gift.
II. Appraisals
The library disclaims appraisal of gift books for tax purposes. Such appraisal is generally the donor’s responsibility.
III. Acknowledgment
The library director will acknowledge all gifts in writing.
IV. Prospective Retention/Rejection Items
Gift resources that may be retained include:
- Materials that further the library’s goals in support of the university curricula.
- Local and state materials
- Resources in support of research
- High-use materials
- Special Collections materials
- African American gifts
- University archival materials
Donated resources that may be rejected include:
- Monographs/Serials
- Duplicate copies of books seldom used
- Resources in bad physical condition
- Mass market paperbacks (except African-American titles)
- Resources considered “part of a whole” with no chance of receiving or purchasing the rest of the set
- Multiple copies of books (if the donated copy is a third copy and up)
- Books published more than twenty years ago (except for archival materials and African-American titles)
